1. Who We Are

2. Who Is Responsible for Your Data (Controller vs. Processor)
Hiring Organization processing:The Hiring Organization is generally responsible for your personal information in its hiring process. In that context, SorsX typically processes your information on behalf of the Hiring Organization as a service provider/processor to deliver the application, screening, and interview workflow.
SorsX candidate database processing:Separately, SorsX may maintain and operate a candidate database (the "SorsX Candidate Database") used for sourcing, matching, and headhunting features. For information stored and used in the SorsX Candidate Database (including information collected from publicly available sources and/or contributed through SorsX workflows), SorsX may act as an independent controller. This means SorsX may use that information to match you with opportunities across different SorsX customers and to enhance and enrich its sourcing dataset, subject to your opt-out/removal rights described below.
3. What Information Is Collected
Depending on the role and configuration, the Hiring Organization and/or SorsX may collect and process:
- Identity and contact information (such as name, email, phone number);
- Resume/CV and application details (professional history, education, skills, licenses/certifications, portfolio links);
- Pre-screening questions and responses;
- Interview information, including audio/video recordings (if enabled), transcripts, and your responses;
- Assessment and evaluation information, such as notes, scores, summaries, and recommendations;
- Technical data, such as device information, browser details, IP address, and session logs;
- Information from publicly available sources (for example, professional profiles) that may be used to build or enrich candidate profiles in the SorsX Candidate Database.
4. Why Information Is Used
- Process your application and evaluate your suitability for the role;
- Conduct pre-screening and interviews (including AI-assisted transcription, summarization, scoring, and reporting);
- Communicate with you about the hiring process and interview logistics;
- Maintain the integrity and security of the Services and prevent fraud/abuse;
- Match you with job opportunities (including across different Hiring Organizations using SorsX), where applicable;
- Improve and develop the Services and SorsX’s sourcing dataset (including through de-identification and bias-risk reduction measures);
- Comply with legal obligations and protect legal rights.
5. Recording and AI Processing
Your interview may be recorded (audio and/or video) and transcribed. The Hiring Organization may use SorsX AI-enabled tools to generate summaries, scores, and other evaluation outputs. AI outputs are probabilistic and may be inaccurate. The Hiring Organization is responsible for making all hiring decisions and for appropriate human review.
6. Communications About Job Opportunities (Email/SMS/WhatsApp)
SorsX and/or SorsX customers may contact you about job opportunities and recruiting-related communications. Depending on what contact information is available, communications may be sent via email, SMS/text message, WhatsApp, or other channels.
Opt-out:You may opt out of certain communications by using unsubscribe links in emails or by following opt-out instructions in messages (for example, replying "STOP" where offered). You may also request removal from the SorsX Candidate Database as described below. Even if you opt out of promotional messages, you may still receive transactional or service-related communications related to an active application or interview.
7. Sharing of Information
- The Hiring Organization and its authorized hiring team members and representatives;
- Other SorsX customers (for example, recruiters or employers) where your profile is included in the SorsX Candidate Database and is matched to opportunities;
- SorsX service providers (such as cloud hosting, analytics, communications, security, and AI model providers) as necessary to provide and secure the Services;
- Authorities or other parties where required by law or to protect rights and safety.
8. Retention and Deletion (Including Recordings)
Interview recordings:SorsX may delete, purge, or make inaccessible audio/video interview recordings after 60 days and no later than 90 days after the recording date, unless a different period is required by the Hiring Organization’s configuration or applicable law.
Transcripts and related data:SorsX may retain transcripts, summaries, scores, and related metadata longer than recordings for recruiting, compliance, analytics, and service improvement purposes.
SorsX Candidate Database:SorsX may retain candidate profile information indefinitely to support sourcing, matching, and headhunting features, unless you request removal or deletion, or unless retention is restricted by law.
9. Removing Your Information / Requesting Deletion
To request removal of your information from the SorsX Candidate Database (and to suppress future outreach), submit a request via SorsX’s "Remove My Info" request form available on our website.
